Today, we’re focusing on an essential aspect of scheduling – managing your schedule availability and preferences. Let’s explore how you can tailor your schedule to fit your life while ensuring operational efficiency.

Understanding Availability and Preferences:

Availability and Preferences form the cornerstone of Scheduler configuration, delineating when an employee is available to work and their desired shift preferences.

Availability: Represents hard constraints on an employee’s time, indicating when they are or are not able to work. Shifts cannot be assigned outside of an employee’s availability.

Preferences: Offer insight into when an employee prefers to work, guiding scheduling decisions. While shifts may align with preferred times, they can still be assigned outside of these preferences.

How to Edit Schedule Availability:

Access Your Schedule:

  • Navigate to Menu > My Info > My Schedule > Availability/Preferences.

Modify Availability:

  • Select the date(s) you wish to modify.
  • Utilize the checkbox next to weekdays for a quick selection of recurring availability.
  • Choose the desired availability or preference type.
  • Enter the timeframe if applicable.
  • Click “Save.”

Optional Approval Process:

  • If your company requires schedule availability changes to be approved, enter an optional comment.
  • Click “Submit” to send the request for approval. Changes to preferences do not require approval.

Benefits of Managing Availability and Preferences:

  • Work-Life Balance: Tailoring your schedule availability and preferences allows you to strike a balance between work and personal commitments, enhancing overall well-being.
  • Efficient Scheduling: By providing clear availability and preferences, you facilitate scheduling managers in making informed decisions, leading to smoother operations.
  • Empowerment: Giving employees the autonomy to manage their schedules fosters a sense of empowerment and ownership over their work-life integration.

Tips for Effective Management:

  1. Regular Updates: Periodically review and update your availability and preferences to reflect any changes in your schedule or personal commitments.
  2. Clear Communication: If requesting changes requiring approval, provide clear and concise comments to expedite the approval process.
  3. Alignment with Goals: Align your availability and preferences with your personal and professional goals to optimize your schedule accordingly.

By actively managing your schedule availability and preferences, you pave the way for a harmonious blend of work and personal life. Stay tuned for more insights from UKG, your partner in fostering a supportive and flexible work environment. Happy scheduling!
