The Open Shifts feature in UKG Pro Workforce Management (WFM) allows organizations to schedule flexibly, enabling them to manage resources and shifts effectively. A scheduled time slot for a particular position, date, and time that has not yet been assigned to an individual is referred to as an “open shift.” This function serves as a valuable instrument for generating placeholders in order to fulfill scheduling obligations efficiently.
Visibility into Coverage Gaps
Managers can gain valuable insights into coverage gaps within the schedule by easily viewing open shifts. This enables a thorough examination of scheduling requirements and guarantees that all essential positions are suitably staffed.
To view open shifts:
- Go to Main Menu > Schedule and select the applicable Schedule Planner.
- To ensure the visibility of open shifts in the schedule, ensure that the option to reveal them is selected.
- Select Apply after checking the “Open Shifts” box.
The display of the total number of available segments for the designated time period provides managers with an expedient overview of the daily coverage requirements.
Creating Open Shifts
Using the Add Shift Slider
To create an open shift with multiple parameters:
- Navigate to Main Menu > Schedule > select applicable Schedule Planner.
- Expand the Open Shifts area.
- Right-click a date cell in the schedule.
- In the shift glance, select “Add Shift.”
- Confirm “Unassigned” in the Employee Name field.
- Enter Start Time and End Time.
- Select Transfer to define transfer details.
- Add Business Structure and select the required job.
- Click Ok, Apply, and Save.
Typing in Table View
Manually add an open shift by typing into the date cell:
- Navigate to Main Menu > Schedule > select applicable Schedule Planner.
- Select Table View.
- Expand the Open Shifts area.
- Select a cell in the job row and enter shift details or a time range.
- Click Save.
From a Template
Add open shifts quickly using the Insert Shift Template Quick Action:
- Navigate to Main Menu > Schedule > select applicable Schedule Planner.
- Expand the Open Shifts area.
- Select Quick Actions > Insert Shift Template.
- Choose the shift template and select date cells to create open shifts.
- Stop creating open shifts by selecting Quick Actions again and Saving.
Additional Actions
Additional procedures that generate open shifts consist of delegating tasks to employees, designating paycodes to employee shifts, and copying and pasting open shifts into the schedule using the keyboard commands Ctrl-C and Ctrl-V. The flexibility of the UKG Pro WFM system guarantees that the management of open schedules is effortless and effective.
