A critical safety step that was still being done by hand
Tippecanoe School Corporation runs its recruiting on UKG Ready. In Indiana, reference checks are required by law for every school hire, and when applicable they must include the candidate's most recent employer. The district wanted that safety step handled consistently inside the system it already trusted.
At the time, reference checks were carried out manually. Principals and hiring managers personally called and emailed each reference for every candidate moving forward. The team never cut corners, because student safety was always the priority, but the work took significant time and gave HR limited visibility into what was actually asked and answered.
UKG Ready is highly customizable, so the path forward was clear. The district set out to add automated reference checks on top of it, working with a certified UKG technology partner.

A reference-check engine built into the hiring workflow
On a recommendation, the district partnered with CloudApper, a UKG technology partner, to extend UKG Ready with automated reference checks. The build was collaborative and iterative, with rounds of testing and feedback until the solution did exactly what the team needed.
Today the process is simple. When a principal or hiring manager decides to interview a candidate, they select one option in their hiring workflow. That action automatically sends reference requests to the three professional references listed on the applicant's resume. As each response comes in, the right people are notified by email, and the completed reference is saved as a PDF and synced back into UKG Ready for the official record.
Because the solution runs alongside UKG Ready rather than inside the core system, it added this capability with no custom code in the platform itself. HR also keeps full control. If a reference email address is wrong, the team can correct it and resend the request in seconds. And because different employee groups call for different reference surveys, the correct survey is attached automatically based on how each job is posted.
